2023 Fair Vendor General Information
The Burford Agricultural Society welcomes all perspective vendors to the 2023 Burford Fall Fair Please contact Dave Hastings if you are interested in being a vendor at the Burford Fair. After speaking with Dave, he will determine if you are able to be at our fair and he will email you a contract. You must then return that contract promptly to Dave. Payment is due day of setup. Liability Insurance
Vendors are recommended to provide a General Liability Certificate of insurance naming the Burford Agricultural Society as an additional insured prior to set-up (please see attached info from PAL Insurance). Night security is present however the Burford Agricultural Society is not responsible for damage or losses at vendor’s booths. Vendors are also responsible to ensure any cords or potential hazards are covered.
Space
Vendor space is limited at the fair grounds and will be offered on a first come first serve & paid basis.
Merchandise
The Burford Fair is a family friendly fair, Burford Agricultural Society reserves the right to ask any vendor to stop selling merchandise not in the spirit of family friendly. Should that be a vendor’s only product – said vendor would be asked to leave the grounds without refund of payment.
Sales
The Burford Agricultural Society welcomes all our vendors & wishes them well at the fair, being October we cannot guarantee the weather, nor can we guarantee traffic & visitor attendance to your booth. We encourage our vendors to speak to fair staff, should they have any concerns.
Cancellation Policy
We understand life happens & plans change, should you require to withdraw your spot Burford Agricultural Society will refund cancellations before September 23, 2023. After which we have turned others away & therefore cannot refund your money.
Food Vendors
- Food Trucks / Fresh Food
Due to contractual obligations with other parts of the fall fair – the Burford Agricultural Society is unable to accommodate food trucks or vendors selling certain food products, freshly prepared on site of the Fair grounds. e.g. Candy Apples, Candy Floss
Prepared Food Food not prepared onsite of the fair & pre-packed offsite is acceptable. e.g. cheese, pies, preserves etc.
However it is best to check with the Burford Agricultural Society prior to showing up with your product.
Booth Setup
Hydro available if requested. Note there is a cost for exterior booths requiring hydro. No extension cords or tarps are provided.
Setup Schedule
Vendors are required to setup Friday, October 6, 2023 10:00 a.m.-7:00 p.m. or prior to Saturday, October 7, 2023 at 9:00 a.m. *** Vehicles will not be permitted on the grounds after 9:00 a.m. Saturday, October 7. Please come to Ag Hall Office for Vendor Package/booth location prior to set-up.
Exhibit Building Hours – Indoor booth spaces: (This includes buildings housing vendors)
Saturday 12:30 pm – 7:00 pm
Sunday 11:00 am – 5:00 pm
Monday 10:00 am – 4:00 pm
Buildings will open 1 hour prior to above to allow vendors access to their booths before opening. Please note judging will begin on Saturday at 8 am-12:30 pm. Vendors will be allowed access to buildings however we ask you respect the judging process by remaining at your booth and quietly setting up during this time. Buildings will open when judging completed.
Outdoor Vendors
All outdoor vendors must follow the above building hours as a minimum guideline for opening and closing.
Move out schedule
Booths must remain intact until closing of the buildings on Monday October 9, 2023. No vehicles will be permitted on the grounds before 5:00 pm – This will be strictly enforced! – due to safety of patrons on foot.
Vendor pass policy
Vendor admission passes available for pickup during setup schedule. You will be charged gate admission if you do not have a pass. Each paid rental will receive 2 adult weekend Fair passes.
****Weather
As this is Thanksgiving Weekend, please plan for the weather. Note that exhibit buildings are NOT heated – ONLY propane/gas space heaters are allowed however electrical voltage is limited. It is the responsibility of vendors to ensure any heaters used are CSA approved and turned off when leaving.
